Workflow automation

Automate the follow-through, not just the reminders.

Build workflows on a visual canvas. When a lead arrives, a follow-up slips or an appointment nears, Subul CRM routes, reminds, messages and escalates — with test mode, version history and full logs.

Key capabilities

Everything you need to automate safely

A builder your ops team can own — with the guardrails your engineers would insist on.

Visual workflow builder Drag triggers, conditions and actions onto a canvas and see the whole flow at a glance.
Triggers for every moment New leads, stage changes, overdue follow-ups, upcoming appointments, webhooks and schedules.
Conditions & branching Route by source, campaign, score, custom field, workload or working hours.
Actions that do the work Assign, create tasks, send WhatsApp templates and emails, update fields, call webhooks.
Test mode Dry-run any workflow on sample leads. Nothing is sent and nothing changes.
Version history Every publish is a version. Compare, roll back and see who changed what.
Execution logs A step-by-step trace of every run, filterable by retries, failures and skips.
Built-in reliability Idempotency, loop guard, retries with backoff and rate limits — on by default.
Building blocks

A block for every sales moment

Combine triggers, conditions, actions and logic — the same blocks work across every pipeline and industry.

Test mode

Dry-run it before anyone gets a message

Run any workflow against a sample lead and watch each step decide — what it would assign, send and create — without touching real data.

Test with sample leads, or a real lead in read-only mode. See every step’s decision and the data it used. Messages are previewed, never sent; records never change. Publish only when every path passes.

Know what changed — and what ran

Every publish is saved as a version you can compare or restore, and every run leaves a step-by-step trace your team can search.

Reliability

Automation you can trust at campaign scale

Ad campaigns send bursts, providers hiccup and people double-click. Subul CRM’s engine is built so none of that turns into duplicate messages or runaway loops.

Exactly-once runs Every event carries an idempotency key, so a retried webhook or double-submitted form runs the workflow once — not twice.
Loop guard Workflows that would re-trigger themselves are detected and stopped, with a cap on runs per lead per hour.
Retries with backoff Failed steps retry after 1, 5 and 30 minutes; after that the run is parked and an admin is alerted.
Rate limits & quiet hours Messages respect WhatsApp template limits, per-lead caps and each team’s quiet hours.

How it works

From idea to live workflow in four steps

Most teams publish their first workflow on day one.

01 Start from a template Pick a scenario for your industry or start from a blank canvas.
02 Drag blocks onto the canvas Add triggers, conditions, actions and waits — no code, no scripts.
03 Test with sample leads Dry-run every path and fix anything before it reaches a customer.
04 Publish & monitor Go live, watch the run log and roll back to any version in a click.
